Three Reasons to Invest in Compliant Records Management

Businesses have to keep financial and other business records for a certain period of time based on federal regulation. Additionally, there are other guidelines that may apply if an organization is a charity, non-profit or government agency. In order to comply with these rules and maintain proper records management without stress, businesses can invest in a compliant records management program that is cost effective and removes the hassle of handling paperwork.

When considering compliant archiving solutions, there are three key reasons to invest in these services – clarity of compliance regulations, improved efficiency and gaining control over critical records.

Clarity

When it comes to compliant records archiving, many businesses are unsure of what regulations actually require and how to follow them. By investing in a compliance service, a company is ensuring that this confusion doesn’t hinder their efforts, and their files are properly taken care of. Without clarity of the compliance regulations, a business could accidentally shred an important document rather than store it and risk fines and other repercussions as a result.

Efficiency

Ultimately, storing older records onsite takes up office space, slows down employees and can simply get in the way. Moving records offsite and trusting them to a records storage company can reduce real estate costs, eliminate clutter and relieve the stress of workers. Additionally, if a business does have to pull an older file, either for a client or compliance reasons, an outside company can find the files more efficiently without taking away important manpower from other business tasks.

Control

Related to efficiency, without proper storage procedures a business can lose control over its records, misplacing or losing files or simply being unable to find them due to poor organization. Entrusting business records storage to an outside company removes these risks, keeping files well organized, stored safely and still within easy access. Records should never be out their owner’s control.

Ultimately, compliance management should be a boon to a business, not a restriction, and ensuring worry-free control of files should be second nature – which investing in the services of a records management company can ensure.
